Job Description


SAIC is seeking an Office Manager to provide executive level management and office support to senior DoD officials within the Office of the Under Secretary of Defense for Research and Engineering (OUSD(R&E)). This is an exciting position that requires close interaction with top department leadership within the Pentagon and across the Department of Defense (DoD), including Components, industry partners, academia, international partners, and associations to achieve mission goals and outcomes.

As the Office Manager, you will be expected to supervise all office operations performed in support of the customer, encompassing a dynamic range of administrative, logistical, and technical tasks. An ideal candidate will have a thorough understanding of how a front office functions, how to best synchronize and de-conflict efforts, and be comfortable working closely with senior civilian and military personnel.

Job duties include:

  • Monitor and assist the execution of all front office operations performed in support of the customer.
  • Create and manage communications for the enterprise, group, and individuals, including meeting agendas, briefings, and action items.
  • Assist with the management of office workflow tasks using the Correspondence and Task Management System (CATMS).
  • Develop weekly staff meeting slides including understanding of the context of the most important priorities.
  • Help to manage executive schedules, coordinate visit requests, parking passes, and de-conflict events; perform these tasks as a primary in the absence of other executive assistants.
  • Triage critical administrative and logistical tasks in a timely manner to ensure the front office functions in an efficient manner.
  • Assist in the preparation and routing of senior-level executive correspondence within OSD and across the DoD.
  • Organize and facilitate internal and external communications on a wide array of subjects, including internal and external tasks, program reviews, congressional events, invitations, and speaking engagements.
  • Assist government personnel with domestic and international travel to accomplish mission requirements efficiently using the Defense Travel System (DTS) in compliance with the Joint Travel Regulations (JTR).
  • Identify, submit, and fulfill (as applicable) work orders, including: maintenance requests, IT orders, office supply requests, and burn bag transfers


Education & Experience

  • A Bachelor’s degree with ten (10) years or more  of related experience; Masters and eight (8) years or more experience; PhD or JD and five (5) years or more experience.
  • Strong problem identification/resolution skills, flexibility, initiative, and a proven ability to communicate and work with Senior Executives efficiently and effectively (to include experience interfacing/communicating with Senior Executive leadership in government or industry.
  • Experience writing and editing memos and correspondence.
  • Excellent computer skills in MS Office (Word, Excel, PowerPoint).
  • Excellent organizational and interpersonal skills.


  • Requires a current Top Secret security clearance and the ability to obtain and maintain a TS/SCI.

Desired Qualifications

  • Background in National Archives and Records Administration (NARA) requirements
  • Strong understanding and experience with Correspondence and Task Management System (CATMS) or other Military Service task management systems.
  • Familiarity with Defense Travel Service.
