JOB DESCRIPTION

SAIC is seeking an independent, experienced Program Analyst to support an exciting new opportunity. The Program Analyst will independently accomplish general and daily routine front office administrative requirements during the hours of 7:00am to 3:30pm ET M-F for the Laboratory for Physical Sciences (LPS) in College Park, MD.  Depending on business needs, the customer may assign some tasks that can be more dynamic (i.e., less routine) and challenging than other tasks. 

Responsibilities Include:   

  • Serve as the LPS first point-of-contact for information and as the primary greeter to all visitors, staff, and students. 
  • Oversee and ensure compliance with Operational Security aspects related to Sign-in and Badging Protocols (e.g., tracking and administering badges, escorting visitors, etc.) to include collection of sensitive on-boarding required documents and the administration of basic orientation activities.
  • Oversee and manage the Operational Aspects of the Front Office projects and serve as liaison between line management and project management to include providing administrative support to the Chief of Staff. 
  • Support the office with development of guidance, procedures and/or policies relative to facilitating administrative activities of the organization. These functions may include updating orientation and training manuals/procedures, record management activities, logistics support, assistance with space planning and asset tracking (e.g., door and file-cabinet keys, and access badges), documents/diagrams and personnel management, etc.  
  • Support daily administrative task requirements to include answering the main phone line, transferring calls, taking and relaying messages timely, and utilizing the paging system as necessary to support all lower- to mid-management levels in the office.  
  • Manage and assist with scheduling, creating calendar invites, dissemination of building notices, and the review and preparing of project status updates ad hoc and monthly.
  • Maintain accurate Staff Directories and assist with processing administrative forms and onboarding documents in an organized and confidential manner in Microsoft Outlook and Word, to include assisting with scheduling meetings as requested, creating and tracking meeting invites to requested attendees, reserving conference rooms, setting up Video Teleconference (VTC) or WebEx connections, deconflicting meetings and prioritizing meetings based on business and executive priorities. 
  • Provide the office with a centralized source of administrative expertise and guidance, which ultimately affects the success of the mission.  
  • Prepare special or one-time reports, summaries, or replies to inquiries, selecting relevant information from a variety of sources such as reports, documents, correspondence and other offices, etc. under general directives with minimum assistance and/or guidance.  
  • Produce professionally written emails, letters, documents, and other material that is succinct, coherent, uses proper tone, demonstrates proper grammatical use of the English language, and presents proper format/form per established corporate/office guidance. 
  • Articulate and exchange information (i.e., requirements, actions, needs, status, etc.) in a professional tone and attitude to achieve efficient business rhythms.

 

Qualifications

QUALIFICATIONS:

  • Active TS/SCI with Poly.
  • Strong teaming and collaboration skills that foster office unity and cohesiveness in support of completing office administrative requirements.  
  • Capable of independently handling a large, complex workload, effectively coordinating multiple resources, and multi-tasking in a fast-paced environment having competing priorities.  
  • Produce professionally written emails, letters, documents, and other material that is succinct, coherent, uses proper tone, demonstrates proper grammatical use of the English language, and presents proper format/form per established corporate/office guidance. 
  • Articulate and exchange information (i.e., requirements, actions, needs, status, etc.) in a professional tone and attitude to achieve efficient business rhythms. 
  • Excellent communication skills both verbally and written. 
  • Proficient at Microsoft Outlook, Word, Excel and PowerPoint. 
  • Knowledge and experience in office administration and senior-level support.
  • Proficient with Microsoft Office, especially managing Outlook calendars and Cisco Webex.
  • Ability to manage multiple tasks and priorities, problem solve, and take on new tasks as needed.
  • Comfortable with variety of office equipment, scanning, records management systems and creating databases.

EDUCATION AND EXPERIENCE:  Bachelors (is not required) and three (3) years or more of related experience; Masters and one year of related experience.
