Administrative Assistant will work in support of NASA Headquarters in the receipt and review of scientific proposals. Works with team of professional administrative staff, supports the receiving, logging in, tracking, and electronic notification of several hundred scientific proposals in response to each program announcement. Support a staff of administrative professionals who work with senior NASA scientists in the management and implementation of the review process. Responsible for preparing materials for panel meetings both in-house, shipping to local offsite locations; ordering supplies, and archiving proposals. Must be able to lift boxes of proposals up to 20 lbs. in weight. 
 
Duties: 
o         Provides general clerical and administrative support services as needed to Logistics and Task Leads.
o         Maintain overtime reports, monthly technical reports, and 533 forecast reports.
o         Assist Task Leads with uploading web postings.
o         Assist Task Leads when needed with sanitizing and proofreading panel evaluations, saving evaluations in pdf format, and attaching panel evaluations to selection letters. 
o         Assist Logistics and Task Leads with preparing panel materials.
o         Prepare amendment documents and post on NSPIRES website.
o         Assist Task Leads with preparing and uploading XML exports.
o         Assist Task Leads with preparing letters.
o         Assist Task Leads with printing proposals for panel use.
o         Prepare PR request forms for various services
 

Qualifications

TYPICAL EDUCATION AND EXPERIENCE: 

High School Diploma with 3 years of experience in related office administration, college preferred or 1 year of experience with college degree.

Required Skills:

- Strong administrative background. Particular emphasis on quality assurance, and methodical attention to detail.

- Can-do, team player attitude.

- General Microsoft Office applications, use of e-mail and the Internet.

- Familiarity with database applications a plus.
