SAIC is seeking an Executive Admin to work independently or under only general direction to support the executive leadership in a full range of administrative support requirements. This position will be responsible for,
but is not limited to, the following:
Collect and prepare operating reports and budget expenditures;
Prepare staff summary sheets, memorandum of agreements, and official memos.
Facilitate DTS travel for senior personnel.
Schedule conference rooms and appointments.
Manage senior leadership calendars.
Maintain internal files and records management.
Assist in the preparation of presentations.
Assists in updating/developing office level standard operating procedures (SOP).
Provides support to the e-Task management system.
Assists in managing time and labor, as needed.
Maintains read-ahead books and files
Assists in preparation of charts, graphs and narrative information for management or program reports from material provided by higher-level employees.
Screens incoming correspondence and determines appropriate action.
Review outgoing correspondence and reports ensuring proper formats, grammar and coordination.
May require Special Access Program (SAP) access.
Assist in ensuring procedures are followed for proper maintenance, storage, and destruction of all types of records and correspondence.
Bachelors Degree and ten (10) years or more of related experience; in lieu of Bachelors Degree, graduation or certification from administrative/secretariat school
Active TS/SCI clearance; candidate will be required to pass a Defense Intelligence Agency (DIA) counterintelligence (CI) polygraph
Proficient in Microsoft Outlook applications (Word, Excel, Power Point, ect...), Project or Access database
Experience in scheduling conference rooms, video teleconferencing (VTC) and Tandberg/Desktop VTC using online tools and/or SharePoint websites
Knowledge/experience in Defense Travel System (DTS); managing and booking travel
Familiar with time-keeping duties and travel order processing
Experience supporting Executive/Senior Executive Service in the Department of Defense
Knowledge/experience in preparation, generating and editing of executive-level and technical correspondence, summaries, guidance and other documents.
Experience in editing reports and briefings
Ability to work independently as well as part of a team
Strong oral and written communications skills (ie; excellent spelling, punctuation, grammar, editing)
Supported the Defense Intelligence Agency (DIA) within the last 5 years
Familiar with the DIA organizational structure, specifically the Directorate for Science and Technology (ST) and Office of Advanced Technologies Intelligence (ATI)
Successfully completed DIA CI Polygraph within the last 5 years
SSBI investigation completed/adjudicated within the last 5 years
Associate or Bachelors Degree preferred
High level of initiative, sense of urgency and demonstrated ability to anticipate needs
Superior professionalism and ability to work well with all levels of staff
