HR Services Support Specialist Overview: 

 

This position will serve as a member of the Shared Services Center (SSC) HR Services Support Team. This role is responsible for analyzing and answering HR related inquiries and ensuring effective execution of HR transactions utilizing a variety of systems and tools such as Oracle Cloud HCM, eLM, Taleo, Documentum and Service Now Case Management.  Position is in an open working environment with deadline driven issues requiring research, analysis, and attention to detail. Core hours are 8AM – 6PM ET, Monday – Friday, with a 9/80 flexible schedule option.  Occasional overtime may be required.

 

 

 

Detailed Responsibilities:

 

  • Fulfills requests from employees, managers and corporate/line HR regarding the processing of HR transactions, employee data, policies and procedures.

  • Resolves issues, approves transactions, troubleshoots, and provides guidance at the first point of contact whenever possible; otherwise escalates to senior staff to ensure effective hand off of complex issues.

  • Manually enters employee data including personnel actions, terminations, transfers, and other changes into the HCM system in a timely and accurate manner within the context of core foundational HCM principles.

  • Responds to a broad range of HR inquiries from the Service Request tool, telephone calls and e-mail with emphasis on providing strong customer service

  • Responds to requests specific to employee records, including employment verification requests, and subpoena responses with accuracy and timeliness.

  • Serve as POC for OPM (Office of Personnel Management) Investigators.  Assist them with reviewing employee files.

  • Completes the quality review process to validate the accuracy of input as prescribed, in a timely manner.

  • Provides consistent, accurate and thorough documentation within the case management tool.

  • Ensures new hire documentation uploaded to employee file timely for new hires each week.

  • Short and long term projects may be assigned to provide growth opportunities.

                      

Accountabilities:   

 Verifies the accuracy of data provided to HR Customer Service on change requests and perform data entry in main HRIS system or supplementary systems

  • Performs peer reviewed quality control to validate entered data in HRIS system

  • Performs basic data research and analysis to ensure accurate responses to incoming inquiries

  • Ability to work with and protect PHI and PII, confidential and sensitive HR information

  • Processes (data entry), in a timely and accurate manner, a variety of personnel actions (new hires, terminations, transfers, and other changes), into the Human Resources Information System in accordance with written procedures.

  • Submits requests into the background verification system and follows up as required on outstanding issues to include following the Fair Credit Reporting Act (FCRA) procedures for any adverse information resulting from the verification process.

  • Continually validates and verifies information needed for decision making and documentation

  • Participates in special projects as assigned.

                 

TYPICAL EDUCATION AND EXPERIENCE: High School and two (2) years or more of related experience.

 


Required Education / Experience: 

 

  • High school education and 2 years of experience in an environment that closely aligns with requirements

  • Good analytic, communication, and organizational skills with a track record of problem solving in related subject matter within systems and/or data

  • Proficiency in Microsoft Office applications (Excel, Word, Powerpoint, etc.) with excellent data management skills

  • Ability to independently manage time while being responsible for multiple tasks and assignments with competing priorities and deadlines

  • Ability to work with a high degree of accuracy with minimal supervision in a high-volume environment

  • Ability to work well under pressure and to maintain a professional attitude with employees, peers, and managers of varying levels in the enterprise

  • Focus on accuracy and attention to detail

  • Demonstrate flexibility and willingness to change in a fast paced environment while learning new systems and tools as required

  • Excellent communication skills including phone etiquette, the ability to write clearly and succinctly in a variety of communication settings which require skill, tact, persuasion and/or negotiation

  • Data entry experience in HRIS

 

 

 

Desired Qualifications:

 

  • Knowledge of service center technology preferred

  • Prior experience with Oracle or other HCM software preferred
