Job Description


We are seeking administrative specialists to provide support to offices within the Office of the Under Secretary of Defense.  A successful candidate will apply their administrative skills in a fast pace environment to deliver high quality products and ensure continuous workflow. Administrative specialists’ duties and responsibilities include providing administrative support to Principals, Directors and employees to ensure efficient operation of the office.


Duties include:

  • Senior level management of calendars and office schedules.

  • Provide travel support using the DoD DTS system. Coordinate travel requirements: local, CONUS and OCONUS destinations. Complete required pre-travel clearance and approvals in a timely manner. Ensure passports are current and VISAs are requested and received prior to departure.

  • Sort and direct unclassified, confidential and classified correspondence ensuring proper handling and delivery.

  • Assign and manage unclassified and classified correspondence taskers using DoD CATMS system.

  • Manage office resources: computer equipment, printers, copier, paper, supplies.

  • Develop, implement and maintain office filing system of both physical and electronic files in accordance with office needs and AI-15.

  • Monitor office security; maintain alignment of office procedure with Component Security guidelines for the office, all documents and correspondence, personnel, physical and visitors in the office space.

  • Assist with special event requirements such as time and place, location, duration, number of attendees, security requirements, and travel arrangements.  Arrange for appropriate conference rooms/facilities and prepare meeting places in accordance with acceptable protocol and security procedures.



  • High school and 11 years or more related experience.

  • At least 5 years of direct administrative support experience of which two year must be supporting high-level military or civilian officials.

  • Strong oral and written communication skills, organized, multi-functional and task oriented.

  • Ability to use DoD travel, correspondence, workflow and other administrative tools.

  • Proficient in the Microsoft Office suite. 

  • DOD Top Secret clearance with ability to obtain clearances at the highest level. 

Desired Qualifications

  • College degree highly desired

  • At least two years of experience with the office of the Under Secretary of Defense, or equivalent office. 

  • DoD experience

  • Active DoD badge
