JOB DESCRIPTION:

 

SAIC has an exciting opportunity for an accomplished Executive Assistant on a successful System Engineering and Technical Assistance (SETA) team supporting a national program.  The Executive Assistant directly supports the SAIC team, the customer Program Manager and Program Office staff.  He/she enhances the PM and Program Office’s effectiveness by providing personalized administrative support in a well-organized and timely manner.  You will work on a one-to-one basis with the customer on a variety of tasks that enable the effective and efficient operation of the Program Office:

 

  • Facilitate the program office’s daily business rhythm

  • Maintains Program Leadership and Program Office schedule by planning and scheduling meetings, conferences, teleconferences, and travel—often on multiple systems

  • Support meetings by circulating agenda, taking minutes and publishing them for the record

  • Facilitate weekly program office staff meeting and management board

  • Track action items and contact actionees for resolution

  • Track Contract Delivery Requirement List (CDRL) items for SETA review and customer approval. 

  • Maintain conference room schedules, program’s employee handbook, and phone lists

  • Provide timecard and expense report support for customers

  • Prepare travel requests for customer staff

  • Escort uncleared visitors

  • Maintains office supplies inventory by checking stock to determine inventory level; anticipates needed supplies; places orders for supplies; verifies receipt of supplies

  • Track property inventory and complete quarterly reporting CDRLs

  • Facilitate procurement requests, receive goods, and transport items when necessary

  • Maintain site inventory, office configuration documentation, and support contractor team requirements

  • Maintain program Wiki page and sharepoint sites

                               

Qualifications

 

Required:

 

  • Thrives in a highly dynamic, fast-paced environment; able to triage multiple and often conflicting priorities and tasks

  • Proven track record of success providing executive staff support to the government

  • Exceptional organizational and planning skills—keen eye for details

  • Expert with Microsoft Office (Word, Power Point, Excel) and Outlook (email, calendars)

  • Responsive to deadlines and completeness in accomplishing assignments

  • Experience with customer organizations

  • Positive personality with “can do” attitude, able to work with many types of people

  • Polished, articulate communicator—written and verbal

  • Top Secret/SCI clearance with Poly

 

 

Education/Experience:

 

BA/BS Degree (7-years relevant experience may substitute for degree)

 

5-15 years of experience providing task execution/program administrative support, preferably to government customers including creating meeting agendas, taking minutes and maintaining official copies / document library
