SAIC is hiring a highly organized and proactive Executive Assistant to provide executive level management and analytical support to the Office of Strategic Capital (OSC) Strategy Division within the Office of the Under Secretary of Defense for Research and Engineering (OUSD(R&E)). This is an exciting position in a fast-paced environment that requires close interaction with top department leadership within the Pentagon and across the Department of Defense (DoD), including Components, industry partners, academia, international partners, and associations to achieve mission goals and outcomes. Specifically, the Executive Assistant will help our customers solve complex problems; manage meetings, schedules, and office operations; plan and track travel, visit requests, and increase workforce productivity through process improvement.

 This position is on-site in Arlington, VA with the ability to telework up to two days a week.

Position Responsibilities:

  • Maintain highly responsive posture for the Strategy Division related to communications, taskings, meeting requests, information requests, and items requiring decisions.
  • Manage extensive executive schedule, coordinate visit requests, and de-conflict events for senior-level principals.
  • Gather information; articulate, analyze, and solve problems; visualize and present information; and provide decision support to achieve mission outcomes (to include summarizing email communications and meeting notes, coordinate follow-ups and facilitate cross-functional collaboration).
  • Arrange for appropriate conference rooms/facilities and prepare meeting places in accordance with acceptable protocol and security procedures.
  • Assist with special event requirements such as time and place, location, duration, number of attendees, security requirements, and travel arrangements.
  • Review and route senior-level executive correspondence, ensuring compliance with established DoD correspondence standards.
  • Assist government personnel with domestic and international travel to accomplish mission requirements efficiently using the Defense Travel System (DTS) in compliance with the Joint Travel Regulations (JTR).
  • Identify and submit work orders to ensure office facilities remain fully functional and operational. 

Qualifications

Required Education and Experience:

  • Bachelor’s degree and six (6) years of experience.  Masters and four (4) years of experience. Specialized experience, including military or industry executive assistance experience, may be substituted in lieu of specific educational requirements.

Clearance:

  • No clearance required to start;  Ability to obtain and maintain a TS/SCI will be required to maintain employment. 
  • US citizenship required.

Required Skills:

  • Strong problem identification/resolution skills, flexibility, initiative, and a proven ability to communicate and work with senior executives efficiently and effectively (to include experiencing interfacing/communicating with senior executive leadership in government or industry). 
  • Ability to work independently in an extremely fast paced environment, managing multiple emails and calendars at once.
  • Detail oriented.
  • Strong experience in writing/editing memos and correspondence.
  • Excellent computer skills in MS Office (Word, Excel, PowerPoint) and Google Workspace (Sheets, Slides, Docs), as well as various modern teleconferencing systems (e.g. ZoomGov, Webex, Teams, Meet, etc.)
  • Excellent organizational and interpersonal skills.

Desired Qualifications:

  • Background in National Archives and Records Administration (NARA) requirements for records and information management.
  • At least five years of direct administrative support experience with senior-level military or civilian officials.
  • ·    Familiarity with the Defense Travel System (DTS).
