Description

JOB DESCRIPTION: Manages all formal and informal actions and taskings, coordination, approvals, and responses.  Establishes and maintains coordination and approval timelines to meet customer suspense's.  Coordinates with team members supporting senior managers responsible for acquisition, development, and maintenance of a national space asset portfolio.

Provides direct operational support and acts independently to task, track, coordinate, consolidate, and respond to staff actions and tasks for staff offices related to program office acquisitions, systems engineering, and personnel management; provides consolidated responses to the Program Office Action Officer.  Updates and maintain program office and enterprise action tracking reporting tools.  Develops office solutions and provides real time prioritization when time is of the essence, composes documentation in accordance with government policies and practices and maintains working knowledge of all senior government office interfaces. Responsible for overseeing Division reporting requirements, preparing and updating continually changing project schedules, prioritizing and coordinating project requests, and arranging briefings and appropriate supporting material to ensure objectives are met.  Manage and coordinates briefings to inform internal and external customers on program status, requirements, and system health supporting national goals and objectives.  Provides support to program office in coordinating business functions to include programmatic and decision meetings/forums. 

Major Duties:

  • Responsible for all Division level action staffing/coordination business rhythm processes; identifies improvements and provides inputs to increase efficiency
  • Serves as the alternate administrator for the Tracking Information and Enterprise Response (TIER) action coordination process for Division and matrixed office chiefs and provides backup support to lead action officer
  • Maintains tracking process and tools, action status, and provides metrics utilizing internal and enterprise level databases
  • Anticipates coordination across multiple Program Office acquisition efforts and potential issues and provides solutions. Ensures actions are completed in a timely manner to meet customer requirements.
  • Works collaboratively with senior leadership and subject matter experts at all levels of the organization to plan, track, and draft responses to drive to closure all tasks and products.
  • Comfortably manages multiple tasks/projects/processes with accuracy while anticipating leadership schedule conflicts to accomplish all efforts on time.
  • Reviews all program talking papers and point papers utilized by Program Director in managing a national intelligence asset portfolio.
  • Staffs and coordinates associated briefings being utilized at the Directorate, NRO, DNI, DoD, and Congressional levels to ensure alignment with customer objectives.
  • Anticipates SPO needs to be successful and responsive to organization leadership
  • Plans ahead, anticipates issues, provides solutions, and solves problems
  • Coordinates drafts, reviews, and edits of executive level briefings as needed to include Program Status Reviews and Quarterly Program Reviews
  • Works with program schedulers to develop schedules depicting major activities and responsibilities
  • Directly supports the Chief of Staff by planning, scheduling, executing, and documenting Program Office and division level meetings
  • Coordinates preparation and staffing review of Program Management Plan, Systems Engineering Plan, and other business operations documents
  • Coordinates preparation and staffing review and Weekly Activity Reports (WARs) documenting accomplishments and identifying upcoming events and satellite acquisition progress and status

Qualifications

REQUIRED QUALIFICATIONS:

  • Bachelor's Degree and 10 or more years of related experience; Masters and 8 years of experience; PhD and 5 years of experience.
  • Expertise in business and administrative processes and controls
  • Knowledge of NRO organizational structure and NRO business processes and policies
  • Self-sufficient critical thinker who possesses a manager's mentality
  • Excellent organizational skills
  • Strong attention to detail
  • Exemplary writing and editing skills
  • Strong networking, interpersonal, and customer service skills
  • Superior judgement and tact in complex, sensitive, and/or contentious situations
  • Experience working with senior government and contactor leadership
  • Proficient with Microsoft Word, Excel, PowerPoint and SharePoint.

DESIRED QUALIFICATIONS:

  • Knowledge of NRO organizational structure and NRO business processes and policies
  • Proficient with NRO Tracking Information and Enterprise Response (TIER) system
  • Previous experience working in or with a Directors Action Group
