Description

The National Security Customer Group of SAIC is seeking a Logistics/Administrative Assistant to support an IT Service Management effort for USTRANSCOM located at Scott Air Force Base (AFB) in Illinois.  The USTC Managed Information Technology Services (MITS) contract is intended to provide strategic, technical, and program management guidance and support services to facilitate the operations and modernization of the combatant command’s infrastructure, systems, and applications. This support will be provided to the USTC Command, Control, Communications & Cyber Systems Directorate (TCJ6). 

The successful candidate will have comprehensive responsibility for providing procurement, logistics, asset management and administrative support to a government IT program of 100-150 contractor resources.  

Daily responsibilities may include:

  • Providing administrative support to the Program Management team and contract personnel by handling a variety of tasks that primarily include managing and distributing information and supplies/equipment within the office to increase team efficiency and ensure productive interactions 
  • Sending and receiving correspondence on behalf of managers and contract employees 
  • Screening calls, routes callers to appropriate contacts, and answers phones on behalf of unavailable personnel 
  • Developing memos, reports, and meeting minutes, and maintains an archive of relevant files for the team 
  • Preparing meeting presentation packages and coordinates facility setup and hospitality items/tasks 
  • Supporting coordination, procurement, distribution, and use of equipment and supplies 
  • Managing schedules for the Program Management team, booking meetings and appointments and preventing scheduling conflicts 
  • Assisting contract personnel in completing travel authorization forms, making travel arrangements, and processing expense reports and reimbursements, as well as creating and submitting post-travel, contract-required Trip Reports 
  • Coordinating with Program Control Analysts to ensure availability of travel funds, estimate travel expenses for authorization forms, calculate actual costs for inclusion in Trip Reports, and maintain a travel log/summary 
  • Assisting the Program Manager or other managers with asset management and procurement activities as directed 
  • Assisting the Program’s Onboarding/Security Liasion as directed 

Qualifications

REQUIRED EDUCATION AND EXPERIENCE:
  • Minimum of six (6) years of experience with a Bachelor’s Degree 
  • Fluent with Microsoft Office applications 
DESIRED EDUCATION AND EXPERIENCE:
  • Four years with a Master’s Degree 
  • Staff tracking, procurement, logistics and/or asset management experience 
REQUIRED SECURITY CLEARANCE:
  • Active Secret Clearance with the ability to obtain a TS/SCI
